OnCore

The OnCore clinical trial management system (CTMS) is a software application that helps research teams track protocols, subjects, study visits, and administrative activity through the lifecycle of the protocol. OnCore provides critical reporting and analytical capabilities that deliver a real-time snapshot of study activity at UAB.

Key OnCore Components include:

  • PC Console: protocol information
  • Specifications: subject calendars
  • Financials Console: Charge Master linking for UAB Health System and CCTS billable services, sponsor budget entry, invoicing, and payment reconciliation
  • CRA and Subject Console: subject status and visit management
  • Reports: protocol and subject search tools, available ad hoc reports

What does OnCore do at UAB?
OnCore information aligns with the UAB Health System (UABHS) electronic health record and billing systems. When the study team enters protocol, subject, financial, and billing information into the system, OnCore:

  • Improves Research Billing Compliance: generates Clinical Trial Billing Notices (CTBNs) for the Clinical Billing Office and reports for CCTS to bill for clinical services
  • Enhances Patient Safety: flags relevant patients as On Study in their medical record, allows for patient hospital admissions alerts
  • Provides Financial Information: generates financial data for sponsor invoicing and A/R reporting for study teams, and provides important financial information to UAB leadership
  • Provides data: provides reports for study teams and UAB leadership, information for Power Plan creation and ancillary areas like IDS Pharmacy

    Is OnCore required for my study?

    Study management in OnCore by the study team is required for the following:

    • Industry-sponsored clinical trials
    • Studies with UAB Health System clinical billable services
    • Studies with certain CCTS services

    Is your study cancer-related or does it involve cancer patients?

    • If so, and you are a Medical Center study team with a study that requires study team management in OnCore management, contact Denise McKenzie (dhmckenzie@uabmc.edu) to submit the study for PRMC Approval, in addition to submitting for OnCore use.
    • If so, and you are a Medical Center study team with a study that does not require study team management in OnCore, but the study is cancer-related or involves cancer patients, contact Denise McKenzie (dhmckenzie@uabmc.edu) to submit the study for PRMC Approval and learn more about the O’Neal Comprehensive Cancer Center’s requirements for OnCore use.

    Does your study not require study team management in OnCore, but still need CRSP, SPAN or Biospecimen Management services from the CCTS?  Complete the CBR-OCS-CCTS Submission Form to request CCTS clinical services.

    Note - Investigators may choose to enter studies in OnCore that do not meet these criteria.  Questions? Contact Oncore@uabmc.edu

    How do I get my study in OnCore?

    Complete the CBR-CCTS-OCS Submission Form to request study entry in OnCore.  First time using the CBR-CCTS-OCS form?  Use the checklist to help gather required information (enter your uab.edu email/blazerid to access)

    • Need pricing/coding from CBR for feasibility (not ready to begin the startup process)? Complete the CBR Feasibility Request Then complete the Submission Form when you are ready to move forward.
    • Unsure which CCTS services you need? Email CCTSclinical@uab.eduto request a consultation. Visit the CCTS website to view short videos describing each CCTS area, or to view pricing information (enter your uab.edu email/blazerid to access).  Then complete the Submission Form when you are ready to move forward.
    • Unsure which local labs you plan to order for the study? Refer to the Outreach Lab Requisition form ("Green sheet") (enter your uab.edu email/blazerid to access).
    • Need a revision to an existing OnCore calendar? Complete the CBR-CCTS-OCS Submission Form and select Revision/Amendment.
